How Bella Vista tripled their VIP retention (a fidel.club story)

This is a composite. The numbers are illustrative, based on our internal Bella Vista Hair Studio demo tenant and typical patterns I see in real salons on fidel.club. When a real salon signs off on being named, we will publish that case study separately - this piece is meant to show the shape of what a good six months looks like.

The setup

Bella Vista is a two-chair hair studio in Milan's Isola district. Solo owner, one part-time stylist, roughly 300 active clients at the start of the six-month window. Ticket average €65. Peak days Friday and Saturday. Quiet Tuesday-Wednesday.

Month 0: baseline

Month 1: kiosk + weekly digest

QR taped near the till. First week, 47 scans. Second week, 61 (staff starts prompting new clients). By week 4, 88 percent of visits are being logged. Owner opens the Saturday digest for the first time. It flags 12 VIPs who have not been in for 45+ days. She sends the reactivation email to all 12. Three book within the week.

Month 2: reactivation email loop

The automatic 60-day reactivation loop is now running silently. Owner does nothing new - she just watches. Of the 90 silent clients at month 0, 28 get pulled back over months 2-4 (a 31 percent recovery rate, above industry average because the salon was healthy to begin with).

Month 3: post-visit review requests

Two hours after each visit, clients get the 5-star email. Fridays and Saturdays generate the highest volume of positive responses (unsurprising - clients are relaxed at weekends). Total Google reviews collected in one month: 34. Salon rating drifts from 4.6 to 4.8.

Month 4: birthday automations kick in

The auto birthday reward, running since day 1, has now hit its first full cycle. Nine clients had a birthday, seven redeemed the free hair treatment within a month. All seven booked a follow-up service at full ticket during the same visit. The birthday reward paid for itself 4x over.

Month 6: the numbers

What the numbers do NOT say

This works when the salon is already competent. If your service was mediocre, the loyalty tool amplifies the mediocrity - clients get invited back to something they were quietly rejecting. The tool is a magnifier, not a fix. The salons I have seen struggle to make it work were the ones that used it to paper over a service quality issue.

The honest caveat

Bella Vista Hair Studio is our internal demo tenant. The numbers here are what I model for a healthy independent salon in the €10-15k/month bracket that runs the loop consistently for six months. Your numbers will vary. Some real salons on fidel land at 20 percent of these results, some at 200 percent. What is consistent across all of them is: the ones that check the Saturday digest weekly and act on one thing every week outperform the ones that set-it-and-forget-it by roughly 3x over six months.
